Art Market vendor application

Booths include a 10’ X 10’ tent, two 6’ tables, two chairs, a power outlet and one overhead lamp.

Overnight security is provided, and a Booth Relief Service is available (limited by daily volunteer availability).

• Signed artist contract and booth payment from accepted applicants must be received by Friday, April 3, 2026.  
• All prices are subject to applicable tax. Artists applying for a shared tent can choose their partner, or the festival will do the matching.
• There will be no partitions in shared tents.  
• We will do our best to address booth requests; however, traffic flow, safety and special health-related needs of exhibitors are the first considerations when assigning space.

• Open to independent artists, groups or institutions, creating and producing their own original artwork and designs.
• Embellished, altered, commercial, imported, or mass-produced items are not allowed.
• Direct sales companies or representatives are not allowed.
• Vendors may only sell items that were approved in their application.
• Production support (printing, sewing, fabrication, small-batch manufacturing, etc) is permitted only for original designs and must also be done locally or within the artist's region). Artist must be able to explain their production process if requested. Industrial, overseas, or large-scale manufacturing is not permitted.
• Reproductions and limited-edition work must be clearly labelled “reproduction”. All reproductions must be signed and numbered. Reproductions may make up no more than 40% of the booth.
• Artist(s) must be present on-site during the festival.
• Food and Skincare Vendors must obtain all required Vancouver Coastal Health certifications. The festival is not responsible for checking or ensuring compliance.
• All artists must be listed on the application when work is collaborative.
• Group or institutional applications are welcome to apply and must include a designated lead representative.
• Vendor selection is based on product descriptions and images submitted with the application.
• A non-refundable jury fee of $26.25 ($25 + tax) per application is collected at the time of application.

1. Originality Requirement
   While AI may be used in early stages, such as brainstorming, generating references, or developing preliminary concepts, the final artwork must be primarily created by the artist. The completed piece must clearly reflect the artist’s own message, style, and creative decision-making.
2. Acceptable Use of AI
   AI tools may be used as supportive elements if:
   • The artist significantly transforms or develops the work beyond any AI-generated material.
   • The final piece demonstrates the artist’s personal style, intention, and craftsmanship.
   • AI is treated as a tool, not a replacement for artistic authorship or technique.

Work that relies heavily on AI output, without substantial artistic contribution or decision-making by the artist, will not be accepted.

• The jury, composed of experienced visual arts professionals, evaluates all submissions based solely on artistic merit, as represented by the images provided.
• No geographical, organizational, or political factors influence the selection process.
• All applicants undergo an anonymous and impartial review. Previous participation in the festival is not considered.
• Selections are made according to three main criteria: design, technique, and originality.
• The jury also strives to ensure a balanced representation of diverse media and artistic expressions.

• The Festival has on-site overnight security.
• All tents have walls that can close and zip up.
• Insurance is required for all artists.
• Each artisan is required to pay $30 and will be added to the group liability insurance policy in the amount of $2 million, naming the District of West Vancouver as additionally insured for coverage for the dates of the Harmony Arts Festival.
• The Harmony Arts Festival is not responsible for lost or damaged artwork.

• Applications will be juried based on originality, design, and technique.
• Submit 1 to 5 high-resolution, print-quality files that best represent your work.
• Accepted media types: Images, Video, Audio, PDF, and 3D Models.
• Do not allow embedded media and larger files.
• Images must be under 5 MB and in .jpg, .gif, or .png format.
• You can upload images with any dimensions. SlideRoom automatically resizes images larger than 1280 × 1280 × 72 ppi.
• Videos must be less than 250 MB in size.
• Please include photo credits for all images.

• The Harmony Arts Festival receives extensive media coverage across the Lower Mainland, including digital and social media, newspaper and print, and bus shelter campaigns, reaching an audience of over 350,000.
• The Harmony Arts Festival reserves the right to select participating artists for inclusion in advertising or media features and may use vendor images for promotional purposes.
• The festival is free and open to the public, attracting more than 150,000 visitors over ten days, based on previous years. 

West Vancouver is a quaint residential community with limited accommodation. Accommodation is available in North Vancouver on Capilano Road, a short 5km distance from Argyle Avenue or across the Lions Gate Bridge in Vancouver.
